A practical guide to Coinciliation.

Coinciliation is a read-only operational treasury workspace. It connects stablecoin movements to the business records behind them.

1. Create your workspace

Sign in using a single-use email link. Set your company name and reporting currency (EUR or USD). Your free Sandbox includes one entity, two wallets, one user, 100 imported transactions per calendar month and 30 days of visible transaction history.

2. Add your sources

Connect a browser wallet or scan a public address. Ethereum: USDC, USDT, EURC. Base and World Chain: USDC, EURC. Polygon, Arbitrum, Optimism and Unichain: USDC. Tron: USDT. History loads in pages. EVM imports use a 64-block buffer; Tron imports use solidified receipts. Other assets and networks use CSV. Choose Connect & detect, select the provider or paste a public address, choose networks, and import. Only the addresses you select are saved. Each address/network uses one plan wallet slot. No signature or spending approval is requested. A wallet connection does not provide invoices, identity or business purpose.

On EVM networks, only transfers at least 64 blocks behind the provider’s current height are imported. Tron uses confirmed history and successful solidified receipts. A confirmation buffer is not an absolute guarantee of blockchain finality. Never enter a seed phrase or a private key.

3. Import CSV activity

Create a manual account for a payment provider or spreadsheet. Download the CSV template. Required columns are external_id, occurred_at, direction, asset, amount. Use an ISO timestamp, a positive amount with up to six decimals, direction in or out, and USDC, USDT or EURC.

Optional columns include tx_hash, reference, counterparty_address, fee, fee_asset, fiat_value. Fiat values must be in your workspace currency. Imports are atomic: invalid rows reject the batch. Reusing an external ID within a wallet skips the duplicate. Use batches of at most 1,000 rows. CSV cash flows are not a verified current wallet balance.

4. Reconcile payments

Add counterparties and invoices or vendor bills. The reconciliation inbox proposes matches based on outstanding amount, payment reference and known address. Confidence scores express rule strength, not a statistical probability. A human confirms each match. Payments can be allocated partially, multiple payments can settle a document, and overpayments remain visible. Matching requires the same entity, asset and direction.

Transfers between known company addresses are labelled internal. You can correct that classification in the transaction review. Internal transfers cannot settle invoices or bills. Remove allocations before converting an already matched transaction to an internal transfer.

5. Approve bills and collaborate

Growth and Business bills begin as drafts. Finance submits the bill, and a different owner or administrator approves or rejects it. Payments are executed externally. On Starter and Sandbox, bills are manual records and do not include the segregated approval workflow.

Owners and administrators manage workspace settings and billing. Finance members manage operational records. Viewers have read-only access. Invitations expire after seven days.

6. Understand balances and valuations

The dashboard uses token balances from connected wallets and timestamped CoinGecko spot prices. Prices older than 24 hours are excluded. Missing prices produce a partial valuation warning. Current spot value is not a transaction’s historical fiat value; imported historical values retain their user-provided source. Chain imports do not currently retrieve network gas fees or historical exchange rates automatically.

The operational health indicator summarizes unmatched records and visible alerts. It is not a credit rating, investment score or compliance certificate. Scenarios use your entered assumptions and priced wallet balances; they are not forecasts.

7. Hand off the close

Starter and above can export stored transactions and JSON proof packets. Close packages contain the month’s transactions, linked allocations, document balances at generation time and the recorded audit trail. A package is a fixed snapshot, not an accounting ledger lock. Growth and Business can create a read-only link valid for seven days and revoke it from Close & handoff.

8. Manage your subscription

Paid plans use Stripe Checkout and the Stripe Customer Portal. Annual billing charges ten monthly payments upfront (16.7% less than twelve monthly payments). Cancellation takes effect at period end. Subscription status is verified directly with Stripe on return from checkout, by Refresh subscription and scheduled checks. Records remain stored after downgrade, while the Sandbox history and creation limits apply.
